Privacy Policy

Brainko LTD ("Brainko", "us", "we", or "our") operates the https://www.brainko.com website (the “Service”).

Brainko is an educational platform / learning management system for institutions.

This Privacy Policy explains how we collect, use, share, and protect information when you use our Service.

Who Can Use Our Service

  1. Educational “Institutions”, administrators, and teachers.
  2. Students and learners using accounts provided or enabled by an Institution.
  3. Individual users who choose to use certain features outside an Institution context (for example, the Exam Sheet scanning feature).

Information We Collect

Depending on how you use the Service, you (or your Institution) may provide and we may collect:

  • Account & profile information: name, email address, profile picture, and related account settings.
  • Learning & course information: course materials you upload or create, assignments, quizzes, and question banks.
  • Student learning progress: completion, scores, attempts, timestamps.
  • School/class administration: school, class and roster information, grade/level, attendance, and notes.
  • Communications: messages you post on the platform or requests you send to us (e.g., support tickets, feedback) and related metadata.
  • Device & usage data: log and diagnostic data such as IP address, device/browser type, pages/actions within the Service, and timestamps.

Minimization: Please avoid uploading highly sensitive personal information unless it is necessary for your educational purpose and you have the appropriate rights and permissions.

How We Use Information

We use information to:

  • Provide and operate the Service (including account creation, authentication, course delivery, grading, progress tracking, and reporting).
  • Support Institutions' administrative needs (e.g., class/course setup, rostering, attendance, and permissions).
  • Improve and develop features, including usability, performance, and quality assurance.
  • Provide customer support, communicate about updates, and respond to inquiries.
  • Protect the Service and our users (fraud prevention, abuse detection, troubleshooting, and security monitoring).
  • Comply with legal obligations and enforce our terms.

AI Features

We may use third-party services to power some AI features across the platform, such as generating, enhancing, or importing questions.

By using these features, you acknowledge that your data may be sent to and processed by these third parties.

We may retain prompts and AI outputs to help us debug issues, improve feature quality, and fine-tune our system prompts and safety/guardrails. Where possible, we encourage you and your Institution to avoid including unnecessary personal information in prompts.

Exam Sheet Scanning Feature (OMR)

Our platform includes a feature that enables you to scan a Psychometry Exam Sheet and to perform a quick exam check via OMR image processing.

Uploaded exam sheet images are processed to detect marks and generate results. We may retain uploaded images and related processing output to occasionally review a limited sample for quality assurance and to fine-tune our image processing if needed.

If you are using this feature outside an Institution context, please do not upload images containing personal information that is not needed for the exam check.

How We Share Information

We share information only as needed to operate the Service, including:

  • Institution administrators: if your account is created or managed by an Institution, authorized staff may access class and student information (including progress, submissions, and reports) consistent with the Institution's policies.
  • Teachers, classmates, and other users: teachers may access information needed to support learning and track progress (for example, assignments, submissions, scores, and completion); classmates may see limited shared class information such as class-level statistics where features are enabled; and basic profile information (such as your name and profile picture) may be accessible to other users on the platform.
  • Service providers and processors: vendors that help us host, store, support, analyze, and secure the Service. These third-parties may access personal data only as needed to provide services on our behalf and may not use it for unrelated purposes.
  • Legal and safety reasons: if needed to comply with law, protect rights and safety, investigate fraud, or respond to lawful requests.
  • Business transfers: if we are involved in a merger, acquisition, financing, reorganization, or sale of assets, information may be transferred as part of that transaction.

We do not sell personal information. We do not use student data for targeted advertising.

Data Storage, Hosting, and Transfers

We use Firebase to store the data on Google Cloud servers, including personal data.

Your information may be processed and stored in countries/regions where we or our service providers operate (Israel, EU, US).

Data Deletion

Your privacy is important to us. In the event that you choose to close your account and delete your personal data from our servers, open your profile page, click "Edit", and then click the "Delete User Account" button. Institution-managed accounts can be deleted in a similar way through the user's profile page.

Security of Data

We use reasonable administrative, technical, and organizational measures designed to protect information from unauthorized access, loss, misuse, and alteration. No system is 100% secure, and we cannot guarantee absolute security, but we continuously work to maintain and improve our safeguards in line with high security standards.

Children's & Student Privacy

Our Service is not intended for direct registration by children under 13.

The Service may be used in educational settings by Institutions and their students. In such cases:

  • Institution-facilitated access for students: if an Institution enables access for students under 13, the Institution is responsible for providing required notices and obtaining parental/guardian consent under applicable law (e.g., COPPA, FERPA, and similar laws).
  • Student content and controls: students may submit content (e.g., profile photos, assignment uploads, and free-text responses). Institutions should configure available controls and instruct students not to upload unnecessary personal information.
  • Student data use: we process student information solely to provide and improve the Service. We do not sell or use student data for targeted advertising.

If you are a parent or guardian and believe your child has provided Personal Data without required authorization, please contact us. If we learn that we collected a child's personal information in a manner not authorized by an Institution or applicable law, we will delete or de-identify it promptly. We use cookies and similar technologies to keep you signed in, remember preferences, and understand service usage. You can usually adjust cookie settings in your browser; some features may not work properly if cookies are disabled.
